Terms and Conditions Governing The Ridge Community League Facilities Rental

Definitions:

“Renter” refers to the individual(s) or party or representative of such person(s) who are renting the facility. 
“Facility” refers to the portion of the facility of The Ridge Community League being rented.
“Event” means any time during which the renter has access to or use of the facility. 
“Agreement” means The Ridge Community League Facility Rental Agreement including the Terms and Conditions Governing The Ridge Community Centre Rental.

Ability to rent: Persons wishing to rent the facility must be at least 25 years old. Persons between the ages of 18 and 25 may rent if a parent or guardian is present to co-sign the rental application.

Alcohol: Whenever alcohol consumption is expected, the renter will obtain third party host liquor (special event) liability insurance. The insurance can be obtained from an insurance broker of the renter’s choice. Please refer to “Insurance” in this document for suggestions. It is the renter’s responsibility to obtain a liquor permit. Permits are available online from AGLC (AGLC Special Event Liquor Licence), and should be requested at least 14 days prior to the event. The permit must be displayed in a visible area where the alcohol is being served. Consumption of alcoholic beverages is restricted to the facility. The Ridge reserves the right to stipulate that the renter hire an approved host to be present at events where alcohol will be served. The Ridge reserves the right to terminate the use of alcoholic beverages at the discretion of The Ridge rental agent or executive member of The Ridge. The Ridge accepts no responsibility for issues that may arise as a result of the distribution of alcoholic beverages.

Cancellation: If the renter should want to cancel the Agreement, The Ridge Community League should be notified as soon as possible. A full refund of payment will be issued if an event is cancelled more than 14 days before the event. Note: Third party liability insurance is not refundable at any time. If an event is cancelled with less than 14 days’ notice, the damage/cleaning/key fob deposit will be returned, but the amount paid for the rent will not be returned.

Damages: A damage/cleaning/key fob deposit of $900.00 (e-Transfer, cheque, cash, certified cheque or bank draft) will be retained by The Ridge and held until satisfactory inspection of premises post event. The Ridge reserves the right to pay damages incurred to the facility as a result of the event from the damage deposit. Further, the renter will pay The Ridge for any costs due to damages as result of the event in excess of the Damage Deposit. If applicable, a refund of the deposits will be issued to the renter by The Ridge as soon as possible after the post rental inspection approval (within 30 days).
“Damages” includes the cost of repairing or replacing a loss to the facility or its contents, and loss The Ridge has incurred as a result of the renter failing to fulfill any portion of The Ridge Community League facility Rental Agreement.

EPS Agent: The Ridge Community League is part of the Agent Status Program. This gives authority to Edmonton Police Service members to act as agents for the property.  EPS members have the authority to act on behalf of the Ridge Community League and may enter the premises at any time without having any other permissions.

Facility Access: An access fob will be issued to the renter along with an access code for disarming the alarm system. At the end of the rental, the renter will ensure that all doors are firmly closed and locked and the alarm is set. The fob must be returned to the office in the centre at the end of the event.

Facility Condition Cleaning: It is the renter’s responsibility to view the facilities prior to their event. If the facility is not clean or in good order, the renter should contact The Ridge rental agent prior to the event. If it is not possible to connect with the rental agent, the renter should take pictures of the areas of concern. The renter is responsible for cleaning the centre according to the Cleaning Checklist provided by the rental agent. Within 24 hours after the event, the rental agent will inspect the facility and report any discrepancies (areas not cleaned or damages) to the renter. If the facility requires additional cleaning after an event, this will be done by The Ridge for a fee of $100 per hour (minimum 1⁄2 hour increments). The damage/cleaning/fob deposit will be retained or refunded on completion of post-event inspection (within 30 days).

Facility Use: The capacity of the hall accommodates 80 people. In order to comply with fire regulations renters must not exceed the stated maximum capacity. Should an official inspection find the number of guests in excess of the capacity, the renter will be responsible for any fines incurred. Decor installations must adhere to fire regulations. Neighbourhood noise ordinances are to be respected.

The Ridge Community League is not affiliated with any of the above insurance companies. Renters are free to get insurance where they wish. Please check around as prices vary. The insurance document must be presented to the Ridge a minimum of 48 hours prior to the event.  Without proper insurance, the event will be cancelled.

Kitchen: The facility kitchen is considered a “finishing” or warming kitchen only. All food being served must be brought in for the event. Dishes, cutlery, and linens are not supplied.

Liability: The renter is jointly and severally liable for the performance of all conditions under this agreement. Failure to comply with any of the above conditions will result in immediate suspension of activities and eviction from the premises. 

Parking: Parking in The Ridge Centre parking lot is not exclusive to the renter.

Payment: Facility booking is effective only after a rental amount or deposit has been paid to The Ridge Community League. Payments can be e-transferred to info@theridgeonline.ca  or paid by cash, cheque, or certified cheque/bank draft payable to The Ridge Community League. An NSF cheque will forfeit the Agreement and be subject to a service fee of $20. If the booking is more than 14 days in the future, a $100 payment will hold the date.  If the booking is within 14 days of the event, full payment is expected to hold the date. 

Rental Rate: The rental rate is $50 an hour. This includes access to the centre 15 minutes prior to the beginning of the requested time for set-up and 15 minutes after the requested time for clean-up.  If more time is required for set-up or clean-up, the rental time requested must be extended. Ridge Community League residents who have a valid Ridge Community League Membership will receive a 25% discount.  Any booking that goes over the allotted booking time (as determined by the security system) will be charged an additional $25 for every 15 minutes over the allotted time.  This fee will be deducted from the damage deposit.

Smoking: The Ridge Community League centre is declared a non-smoking, non-cannabis, non-vaping environment. Smoking or vaping is only allowed outside the facility at a distance of more than 15 metres away.
